Sevenoaks | 40 hours a week, days/hours can be flexible | Salary £25k- 35k basic (with potential to earn on a bonus system)

The Sales and Event Coordinator will be fully responsible for pro-actively selling and organising all events, from point of enquiry right through to the day itself, events will typically include weddings, functions, corporate days, fairs and exhibitions.

This is an amazing opportunity for someone who has a strong desire to make the role their own, you will need to have a passion for excellence, be warm, friendly and have a positive attitude with strong communication skills.

Key Responsibilities:
  • Pro-actively promote and sell all event spaces within the club to maximise revenue.
  • Booking and organising all weddings, functions and corporate day events.
  • Schedule and run Wedding Open Days, Fairs, Exhibitions.
  • Plan and expand the calendar of events for members with the focus on seasonal and speciality themes.
  • Secure new and existing leads, actively converting them into sales to meet targets.
  • Ensure that all event enquiries and correspondence are dealt with efficiently and quickly.
  • Arrange and conduct viewings with potential clients.
  • Costing and producing quotes for potential clients.
  • Provide event and wedding brochures ensuring that they are up to date and available for clients after viewing of venue.
  • Produce and review relevant documentation relating to all events.
  • Establish payment plans, manage deposits, update booking system and prepare invoices correctly.
  • Review provisional bookings weekly to prevent the loss of any revenue.
  • Liaise with the rest of the team ensuring all information is communicated effectively to the relevant people.
  • Keep the booking system up to date with all client updates and requirements.
  • Arrange sufficient cover of staff for events, ensuring adequate staffing levels are always met.
  • Contact suppliers, negotiate discounts, confirm contracts and build a positive rapport for future business.
  • Deal with any event issues that may arise in an efficient and professional manner.
  • Develop and deliver new event concepts to improve the clubs appeal to members and new clients.
  • Assist with advertising and marketing Woodlands Manor website, third party wedding and venue websites, publications and our internal wedding brochure.
  • Update Twitter, Facebook and other social media platforms to market and promote the club events.
  • Attend weekly team meetings to discuss targets and scheduled events.
  • Prepare monthly sales reports for all events.
  • Build a good rapport with clients to ensure repeat business following up with clients post-event to obtain reviews and feedback
